Job Description

Main Tasks:

  • Diary management and organizing meetings and appointments including Personal appointments.
  • Compiling and preparing reports including corporate governance reporting, presentation and correspondence
  • Assist Director in researching and following up with action on matters which fall within the Director’s responsibility – chasing responses, triggering follow-up action.
  • Business travel booking arrangement of flights, accommodation and transport.
  • Organizing visas if necessary
  • Maintaining Director’s planner
  • Reconciling monthly expenses
  • Inputting and updating contact details into relevant folders
  • Reminding HOD of important task and deadline
  • Taking minutes at various management meetings & disseminate to relevant party
  • Paying personal bills for Director
  • Ad hoc paperwork & duties

Interpersonal Skills

  • Ability to deal with sensitive information with discretion and to maintain confidentiality.
  • Ability to prioritize work and manage time effectively and be proactive
  • Excellent attention to details, with the ability to maintain a high level of accuracy.
  • Excellent organizational skills and the ability to multitask
  • Communication skills – the ability to communicate well at all levels
  • Demonstrate a professional manner at all times, tactful and diplomacy and possess the ability to remain calm under pressure
  • Very organized and self-motivated

Technical & essential Skills

  • Educated to degree level or equivalent.
  • Excellent IT skills, including a working knowledge of presentation software packages,
  • preferably Microsoft Office Word, Excel and PowerPoint
  • Experienced Personal Assistant at senior management level.
  • Excellent Diary Management with the ability to pre-empt and look ahead at all times
